Sustaining audit-readiness for calibration and metrology labs

ISO/IEC 17025 compliance rests on the idea that labs must always be working to approved, current procedures, and must be able to prove it.

Most labs start with shared drives, email approvals, and spreadsheets. That works until it does not. Uncontrolled copies of SOPs and test methods multiply, and staff are never quite sure which version is live.

Even small changes must propagate to every affected method and template, and the change must be traceable. When that happens over email, the version history lives in people's heads. During an assessment, that is exactly where an assessor will look for gaps.

Then there are equipment records and calibration intervals, training and evidence of competence, nonconformances, and oversight of externally provided calibrations. Pulling all of this together for an audit often means days of preparation and fear that something will not reconcile.

Cognidox document management for ISO/IEC 17025

Cognidox centralises your controlled documents and technical records so that the current version is always the one your team uses, and the history is always there when an assessor asks.

  • Controlled templates for consistent certificates: Issue calibration certificate and report templates from a single controlled source, so formatting and mandatory statements stay consistent.
  • Version control replaces ambiguity: Only the approved version is available at the point of use, and superseded versions are automatically marked obsolete.
  • Configurable review and approval for faster change control: Route documents to the right reviewers and approvers, with comments captured in the system rather than in email.
  • Audit trails and traceability: Every create, edit, approval, and status change is recorded with who did what and when.
  • Compliant e-signatures for attributable approvals: Approvals are tied to named individuals and cannot be removed once applied.
  • Read-and-understood tracking as evidence of competence: Assign documents to staff and record acknowledgement, building a training record you can show assessors.
  • Role-based access gives the right people, the right documents: Grant access by role so sensitive records stay protected without slowing people down.

How Cognidox helps

Outcome

8.2 Management system documentation

The lab must establish and maintain the policies, objectives and procedures that make up its management system, and make them available to relevant staff.

A single controlled repository holds your quality manual, policies and procedures, with role-based access so staff always reach the current versions.

Assessors see a coherent, maintained management system rather than a scattered set of files.

8.3 Control of management system documents

Documents must be approved before issue, reviewed and updated as needed, identified by revision status, available at the point of use, and prevented from unintended use when obsolete.

Configurable approval workflows, automatic version control, effective and obsolete status, and scheduled review reminders.

Teams always work from the latest controlled procedure, and you can trace who approved what and when.

7.5 Technical records

Technical records must contain enough information to allow a result to be repeated, capture the original observations and the staff responsible, and preserve earlier versions when amended.

Records are stored with full revision history, linked to the methods and equipment used, and every amendment is retained rather than overwritten.

You can reconstruct any result and show that nothing was quietly changed.

6.4 Equipment

The lab must manage the equipment it relies on, including calibration status, maintenance and records that identify each item and its calibration history.

Maintain equipment records with calibration intervals, status, certificates and maintenance evidence attached, and link them to the procedures and results that depend on them.

Calibration due dates and equipment status are visible and evidenced, not tracked on a spreadsheet no one owns.

7.8 Reporting of results

Results must be reviewed and authorised before release, and reports must be accurate, clear and objective.

Controlled report and certificate templates plus a defined review and e-signature step before a report is issued.

Every issued certificate has been checked and approved by an authorised person, with a record to prove it.

7.11 Control of data and information management

Information management systems must be suitable, protected from unauthorised access and safeguarded against tampering and loss, with data integrity maintained.

Role-based permissions, tamper-evident audit trails, controlled backups and retention, hosted on infrastructure certified to ISO/IEC 27001.

Your data is trustworthy and defensible, which is the foundation assessors look for.

Data integrity, security, and scalability, built with your lab in mind

Trustworthy data is the point of an accredited lab, so the Cognidox document management system is built around it.

  • Role-based access controls determine who can see and change each record.
  • Version control preserves every revision.
  • Tamper-evident audit trails record who did what and when, and controlled retention and backups protect against loss.

The platform is hosted on infrastructure certified to ISO/IEC 27001, and Cognidox itself operates a quality system certified to ISO 9001. As your scope grows, from one discipline to many, or one site to several, the same controls scale with you without a heavier administrative burden.

Easy to implement and adopt

The fastest DMS to adopt is the one that fits how your lab already works. Cognidox lets you bring your existing procedures and documents onto a controlled electronic platform rather than forcing you to redesign everything first.

Import and migration options, configurable workflows, and controlled templates get you to a usable system quickly, and a pragmatic, lean setup means staff actually use it rather than working around it.

Seamless integrations and interoperability

Cognidox is designed to sit alongside the tools your lab already relies on. It works independently of file type and supports high-level connections to common laboratory and business systems, such as LIMS, ERP, and standard office suites. When an external party needs to approve a document, secure, controlled sharing lets them do so without exposing your wider system.
